Little Penguins Nannies Ltd (“we”, “us”, “our”) is committed to protecting and respecting your privacy. This Privacy Notice explains how we collect, use, and safeguard personal data when you use our website, register as a family or nanny, or otherwise interact with us. It applies to families, nannies, and any other individuals whose personal data we process in the course of our introduction services.

We are the data controller for the purposes of the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Who We Are

Little Penguins Nannies Ltd is an introduction agency based in London, operating under the Employment Agencies Act 1973 and the Conduct of Employment Agencies and Employment Businesses Regulations 2003. We introduce nannies to families; we are not the employer of any nanny we introduce.

What Personal Data We Collect

If You Are a Family

Contact details (name, email, phone number), general location (borough or area, not full address at enquiry stage), your children’s first names and ages, and details of your childcare requirements. We do not request your children’s full address or other sensitive details unless and until they become necessary as part of a confirmed placement.

If You Are a Nanny

Contact details, CV and employment history, references, qualifications and certifications (including Paediatric First Aid), and information relating to your Enhanced DBS certificate. Enhanced DBS checks include criminal record information, which is special category and criminal offence data under UK GDPR, and is handled with additional safeguards as described below.

Criminal Record Data (DBS Checks)

As part of our vetting process, we ask nannies to provide details of their Enhanced DBS certificate. We do not receive a copy of the certificate itself directly from the Disclosure and Barring Service; certificates are issued to the applicant. We view and verify certificates with the nanny’s consent, and record only the minimum information necessary (such as the certificate number and issue date) to confirm a valid check is in place. This information is stored securely and is not shared with families beyond confirming that a check has been completed, unless the nanny chooses to share further detail directly.

Who We Share Your Data With

We do not sell personal data. We may share personal data with:

  • Families and nannies we introduce to one another, to the extent necessary to facilitate a placement
  • DBS umbrella bodies, to process Enhanced DBS applications
  • Payroll partners, such as Nannytax, where a family chooses to use their services
  • Our insurers, accountants, and professional advisers, where necessary
  • Regulatory or law enforcement bodies, where we are legally required to do so

We do not transfer personal data outside the UK. If this changes in the future, we will update this notice accordingly and put in place appropriate safeguards.

How Long We Keep Your Data

We retain personal data only for as long as necessary to fulfil the purposes described in this notice, including any legal, accounting, or reporting requirements. Where a family or nanny does not proceed with a placement, we will retain enquiry data for a limited period in case you wish to re-engage with us, after which it will be securely deleted or anonymised.

Your Rights

Under UK GDPR, you have the right to:

  • Access the personal data we hold about you
  • Request correction of inaccurate data
  • Request erasure of your data, in certain circumstances
  • Object to or restrict certain processing
  • Request a copy of your data in a portable format
  • Withdraw consent at any time, where processing is based on consent

To exercise any of these rights, please contact us using the details below. You also have the right to lodge a complaint with the Information Commissioner’s Office (ICO) at ico.org.uk, though we would welcome the chance to resolve any concerns directly first.

Children’s Data

Where families share information about their children as part of a childcare enquiry, we collect only what is necessary to identify a suitable nanny, such as first names and ages. This information is provided to us by a parent or legal guardian, and is used solely for the purpose of matching and never for marketing.

Keeping Your Data Secure

We take appropriate technical and organisational measures to protect personal data against unauthorised access, loss, or disclosure, including secure storage, restricted access, and regular review of our data handling practices.
